We are seeking an experience Receptionist for our Winnipeg District Office located in Winnipeg, Manitoba. As a receptionist, you will be the first point of contact for the company and you will provide administrative support across the organization. You will handle the flow of people through the business and ensure that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner.

Required Travel: Possible for Annual Sales Meeting – 5 days per year at most

Requirements:

Responsibilities:

– Answering phones and taking messages for department members. Including transcribing voicemail messages

– Collect and coordinate information from various individuals and sources for the purpose of compiling and summarizing for further distribution

– Provide accurate Word, Excel, Outlook and PowerPoint support by composing and/or editing a variety of documents, spreadsheets and presentations. The includes minutes, memos, contracts, proposal, spreadsheets and presentation

– Assist with the preparation of business presentations including text, graphics and electronic submissions

– Organizing meetings and special events including arranging for catering, locations and distribution of information

– Attending meetings and taking minutes. Following up on action items from the meetings

– Prepare and/or edit internal and external letters, faxes, memos and mass emails

– Coordinate schedules, appointments and reservations

– Sending, receiving and distributing faxes, letters, emails and other documents

– Coordinating shipping/receiving and packing lists

– Other duties as assigned

Qualifications:

– A minimum of 2 years’ reception/administrative support experience is required

– Post-secondary education in Business Administration is an asset

– A combination education and experience would be considered

– Expert proficiency in Microsoft Office Software

– High standards of ethics and confidentiality to coordinate sensitive information

– Ability to work well in a small family owned business setting

– Ability to effectively prioritize work flow with exceptional organizational and planning skills

– Ability to exercise good judgment, show initiative, be proactive, and take ownership of issues to ensure completed to a high standard of quality and accuracy

– Self-starter with the skills to research and complete tasks with limited supervision

– Effective oral and written communication skills

– Grant writing or fundraising experience an asset
